Job Summary

This role provides the primary administrative support to the clinical education team in the PA program.

Responsibilities

1. Clinical Onboarding and Credentialing – 45%

  • Coordinate onboarding processes for clinical rotations across 11 intervals annually.
  • Support scheduling by leveraging clinical database functionality.
  • Maintain clinical site documentation (affiliation agreements, licenses, CVs, Site Profile forms).
  • Manage individualized credentialing with clinical partners (hospitals and clinics) to ensure student onboarding meets site-specific requirements.
  • Serve as a communication liaison with clinical sites regarding student schedules and details.


2. Site Maintenance and Development – 35%

  • Collaborate on sustaining and growing student clinical rotation partnerships.
  • Track relationship histories and coordinate partnership communication with the clinical team.
  • Support the onboarding of new clinical sites and affiliation agreement processes.
  • Maintain CRM system and coordinate data in health education placement software.
  • Organize mass communications such as annual mailers.
  • Actively participate in team meetings related to site development and maintenance.


3. Evaluation and Compliance Management – 10%

  • Oversee and monitor monthly evaluations for both students and preceptors.
  • Enter clinical site evaluations into the database.
  • Generate monthly reports to analyze student logs and evaluation data.
  • Support compliance with ARC-PA standards and requirements.


4. Administrative and Grant Support – 10%

  • Maintain electronic records for preceptors and clinical sites.
  • Provide general administrative assistance to the clinical team.
  • Manage the MERC application process (data entry, communication, approvals, and submissions).
  • Coordinate grant disbursements to eligible clinical partners and attend quarterly MERC meetings.
  • Assist with clinical team data entry and document meeting minutes.

Required Skills

  • Individual must possess advanced skills using digital office products, databases and web tools like Microsoft Office and Google Apps.
  • Flexibility and willingness to learn new systems will be expected.
  • Individual should be detail oriented and have demonstrated organizational skills and ability to work under pressure.
  • Ability to handle sensitive information in a confidential manner is critical.
  • Individual must be able to communicate effectively and in a professional manner with all constituents.

Experience

Required Experience:

  • 2+ years of related experience.

Education

Required Education:

  • High School Diploma or Equivalent

Travel: This position requires no travel.

This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones.

Expected Hours of Work:
Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hoursas identified and communicated by management. Occasional evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
