Job Summary

We have two opportunties to join our nursing department. They each play a key role in ensuring the smooth operation of our nursing programs by providing operational, logistical, and student support. These positions serve as a liaison between the program directors, faculty, students, internal departments, and external agencies, helping to manage communications, maintain records, coordinate scheduling, and support the accreditation processes. These roles are divided into two primary areas: 25% general operational support and 75% department-specific responsibilities tailored to the unique needs of the Undergraduate BSN and Post-Bacc nursing programs.

Responsibilities

1. Program Support - 75%

  • Responsible for program database collection and maintenance in the areas of:
    -Clinical contracts, databases, agency rosters, reporting for agencies, and student and faculty compliance, in collaboration with the clinical coordinator and program director.
    -Clinical evaluation, exams, syllabi, and course gradebook databases
    -Course, instructor, and program evaluation.
    -Admissions and progression data (Post-Bacc position)
  • Support the onboarding of program faculty and assist program faculty as needed.
  • Coordinate and update program newsletters, handbooks, mailings, evaluations/surveys, and websites in collaboration with the program director.
  • Help plan and execute program events such as orientation, pinning ceremonies, and advisory board meetings. The Post-Bacc position might help with admission and information sessions. 
  • Plan and execute Nursing Job Fair.
  • Assist with compiling reports for internal use and external agencies (e.g., state boards of nursing, accrediting bodies).
  • Contribute to continuous quality improvement by identifying and implementing efficiencies in program operations.
  • Support the Nursing Program Director and Lab Director in monitoring and managing the program's budget, including processing invoices and tracking expenditures. Provide spending projections for the program.  Work closely with the program director to maintain appropriate course fees. Maintain agreements with corresponding vendors.
  • Coordinate nursing licensure process with undergraduate students, the department, and the University Registrar.
  • Coordinate contract renewal and insurance certification with clinical agencies 
  • Hire and supervise office Teaching Assistants (TAs). Manage hiring and payment of faculty TAs (Undergraduate BSN position).

 

2. General Operational Support - 25%

  • Provide day-to-day support for the nursing program director, including scheduling meetings, general coordination support, and special projects as needed.
  • Coordinate communication between faculty, students, and the program director. Provide the first point of contact for students.
  • Support faculty by scheduling, transcribing, and maintaining all program exams.  Assist with testing accommodations. The Post-Bacc position might help with exam proctoring.
  • Provide technical and clerical support for virtual and in-person meetings, including note-taking, agenda preparation, and follow-up.
  • Office/ Supplies & Equipment: Monitor inventory levels and coordinate the ordering of office supplies and equipment.
  • Support the purchasing of lab supplies.

Required Skills

  • Proficient in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and video meeting platforms (Zoom).
  • Ability to manage time and work simultaneously on multiple tasks through effective personal organization with the ability to prioritize and shift directions easily, have high attention to detail, and maintain strict accuracy.
  • Must have a proven ability in providing strong customer service. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Ability to communicate effectively both orally and in writing.
  • A strong commitment to quality interpersonal relationships and the ability to work both collaboratively and independently
  • Ability to handle confidential and sensitive information in a professional and secure manner is essential.

Travel: This role does not require travel.


Work Environment:
This job operates in a professional office environment. This role routinely uses standard office equipment such as desktop and/or laptop computers, photocopiers and smartphones.

Expected Hours of Work:
Typically, days and hours of work are Monday through Friday, with the expectation to work specific schedules and hours as identified and communicated by management. Occasional evening and weekend work may be required as job duties demand. This is a 40 hour per week, 12 months per year position.
