Job Summary

Provides administrative support and management of office operations, administrative functions, and special projects for the Office of Student Life & Campus Ministries.

Responsibilities

  • Provides administrative and project support for the Associate Vice President of Student Life & Lead Campus Pastor.
  • Manages budget within areas of supervision and serves as a liaison when needed for direct reports.
  • Assists with the administrative management of the student care process.
  • Provides administrative support to the Offices of Student Life & Campus Ministries by:
    • Managing designated budgets including accounts payable & receivable processes.
    • Assisting with scheduling.
    • Coordinating arrangements for select meetings.
    • Assisting with making arrangements for staff events.
    • Assisting with withdrawal/stop-out processes.
    • Study Abroad approvals.
    • Housing selection.
    • Providing data management of the Transcript for Co-Curricular Involvement (TCCI) according to policies established by Deans.
    • Managing inbox and voicemail boxes.
    • Supports other offices across Student Experience as needed.
    • Other administrative duties as assigned.
  • Establishes and maintains office procedures and systems to ensure smooth operation of the office.
  • Oversees front desk initiatives including front desk services, themed student events, and student worker appreciation.
  • Hires, trains and supervises student employees to provide front desk services and manage projects.
  • Staffs the front desk as needed.
  • Updates and maintains or develops departmental and program web pages for Student Life division websites, Confluence Policy Management, Student Handbook review, and Wufoo form management.
  • Maintains and organizes the suite common spaces
  • Other duties as assigned. 

Required Skills

  • Ability to welcome people warmly, show genuine interest toward students and others, and interact in a professional manner with all students, faculty, staff, and the public.
  • Strong computer skills in Microsoft Office (Outlook, Word, Excel) and website publishing/editing; experience with MS Publisher, MS PowerPoint is desired.
  • Ability to prioritize, coordinate multiple tasks and projects and manage stress associated with continual interruptions and distractions.
  • Must have the ability to handle emergency/crisis calls and situations quickly, confidentially, and calmly using office guidelines.
  • Effective oral and written communication skills with an understanding of how to present departmental philosophy and procedures.

Experience

2+ years of related experience. 

Education

High School Diploma or equivalent
