  • Job Summary

    The Financial Aid Operations Assistant assumes responsibility as the front-line, first contact for students, parents, faculty and staff with questions regarding financial aid. This position ensures that guests receive answers to their billing, financial aid and enrollment checklist questions. The Financial Aid Operations Assistant also images documentation and manages the data entry and tracking systems related to financial aid applications.


    • Manage the financial aid guest reception processes which includes incoming phone calls, voice mail, email accounts and office visits. Schedules appointments for visitors with financial aid staff. 
    • Manages data entry, tracking and scanning of incoming documentation related to financial aid applications and eligibility 
    • Hire, train, mentor and supervise a diverse team of student workers who will provide the first point of contact for financial aid guests and who will assist with document processing. 
    • Monitor and review Admission Office reports for applicants who are not coming and update records as appropriate for withdrawn students. Maintain data integrity in financial aid processing. 
    • Provide administrative support to the Financial Aid Office staff, update and maintain office forms. 
    • Order publications, order office supplies, coordinate shredding pickups and copy machine repairs, organize breakroom. 

    Required Skills

    • Individual must be detail oriented with strong organizational and communication skills.
    • Requires ability to enter data and numbers with accuracy
    • Proven ability to work independently and manage time is necessary.
    • Demonstrate competencies to work in technology driven operations.
    • Working knowledge of web browsing, email and Microsoft Office Word and Excel is required.
    • Demonstrate ability to learn and use financial aid software programs; Banner financial aid experience preferred.
    • Able to communicate effectively in a professional and confidential manner with students and staff.
    • Applicant should be able to speak clearly and distinctly in person and over phone.

    Required Experience

    1-2 years clerical experience required. Financial Aid and customer service experience preferred.

    Required Education

    High school degree required; Post-high school training/coursework preferred. Baccalaureate degree preferred.

    Additional Information

    • Applicant will work in an office environment, must be able to sit and read a computer screen for extended periods of time.
    • Works 40 hours per week, 12 months a year. Hours may vary between 7:00 am and 6:00 pm Monday-Friday.
    • Applicant must be able to bend and stoop to file documents in file cabinets; able to lift boxes weighing up to 25 pounds.
    • Must not be in default on any Title IV loans.
