  • Job Summary

    Provides administrative support and coordination of office operations, administrative functions, and special projects for the Office of Student Life.


    • Provides administrative and project support for the Dean of Student Programs including calendar management, emails, project support, and serving as a liason to the larger community and current students. Manages budget within areas of supervision and serves as a liaison when needed for direct reports. Assists with the administrative management of the student care process.
    • Provides administrative support to the Office of Student Life, including Deans, by managing designated budgets, coordinating arrangements for select meetings, producing the emergency and student locator reports as needed, assisting with making arrangements for staff events, assisting with withdrawal/stop-out processes and housing selection, providing data management of the Transcript for Co-Curricular Involvement (TCCI) according to policies established by Deans, and other administrative duties. Assists with some administrative duties as assigned for the Student Leadership retreat.
    • Establishes and maintains office procedures and systems to ensure smooth operation of the office. Oversees front desk initiatives including front desk services, themed student events, and student worker appreciation. Hires, trains and supervises student employees to provide front desk services and manage projects such as: greeting visitors, answering phones, scheduling appointments, responding to routine information inquiries, poster approval, sorting mail, management of locker rentals, monitoring of suite resources/supply ordering.
    • Collaborates with Web Services to develop departmental and program web pages for Student Life division websites (Health, Counseling, Student Life, Residence Life, Welcome Week, International Student Programs and Services, Disability Resources and Services), Confluence Policy Management, Suite Wufoo form management.
    • OIS Form Screening, Locker requests, Rental verifications, Census Reporting, Bus passes, Billing, University advertising approval
    • Maintains and organizes the suite common spaces such as the waiting room, meeting room, work area, kitchen, and storage space.

    Required Skills

    Ability to welcome people warmly, show genuine interest toward students and others, and interact in a professional manner with all students, faculty, staff, and the public.

    Strong computer skills in Microsoft Office (Outlook, Word, Excel) and website publishing/editing; experience with MS Publisher, Adobe InDesign CS, MS PowerPoint is desired.

    Ability to prioritize, coordinate multiple tasks and projects and manage stress associated with continual interruptions and distractions.

    Must have the ability to handle emergency/crisis calls and situations quickly, confidentially, and calmly using office guidelines.

    Effective oral and written communication skills with an understanding of how to present departmental philosophy and procedures.

    Required Experience

    2+ years of office experience with complex levels or responsibility required. Prior experience in an education organization as well as supervisory experience in daily assignment and review of work for administrative support staff is preferred.

    Required Education

    Post-high school training/coursework required; Bachelor’s Degree preferred

    Additional Information

    40 hours per week, 11-month position.
    Occasionally weekends and evenings for Leadership retreat, Welcome Week, Welcome Weekend, and/or other events
